Position and missions

We are offering you an apprenticeship contract as an ADV Project Coordination Assistant at our headquarters in Marseille, Technopole de Château-Gombert, to ensure the administrative management of customer orders and projects, up to delivery, in order to meet customer requirements while respecting internal and external procedures.

Reporting to the Sales Administration and Project Coordination Manager, your responsibilities will include:
• Monitoring exports according to the Authorized Economic Operator (AEO) standard;
• Participating in the administrative follow-up of customer orders, from creating customer accounts to order payment;
• Serving as the liaison between production and the customer;

• Representing the customer internally.

Your main activities will be:

Sales Administration:

• Verify and decipher customer orders (internal/external codes, prices, addresses, Incoterms, etc.), enter them into the ERP system, and obtain validation.
• Respond to inquiries from customers and subsidiaries, and provide updates on order progress.
• Follow up with relevant departments to find solutions to meet customer delivery deadlines and achieve the "zero delays, zero slippage" objective.
• Contribute to the selection of shipping methods for customer orders.
• Prepare shipping quotes for customers based on rates, Incoterms, urgency, and mode of transport.
• Monitor outstanding invoices, follow up with customers regarding overdue payments, and propose corrective actions (formal notices, shipment suspensions, advance payments, etc.).
Project Coordination:

• Monitor project progress
• Communicate with stakeholders: purchasing, supply, suppliers, clients, carriers, etc.
• Ensure team coordination and adherence to deadlines
• Ensure the smooth flow of information between stakeholders

Knowledge and Skills:

• International trade techniques (Incoterms, customs procedures, documentation and means of transport)
• Microsoft Office Suite, Outlook, Internet
• ERP (Engineering Resource Planning)
• Customer relations
• Written and spoken English

You are known for your interpersonal skills and organizational abilities. You are autonomous and proactive.
